All board members: Seek opportunities to support Hawthorne teachers, administration and parents, participate and volunteer in school events, update documentation as necessary for smooth transition to the new board, attend WPSTA if necessary, be active in committees.
Specific roles also do the following:
Co-president: Build strong relationships with Hawthorne leadership and administration, help provide strategic direction for the board, community, and school, represent the FOH PTA to the press and at all events, formalize fiduciary responsibilities, facilitate and attend community and board meetings in partnership with other board and committee members.
Vice President: Build strong relationships with Hawthorne leadership and administration in partnership with the president, help provide strategic direction for the board, community, and school, represent the FOH PTA to the press and at all events, formalize fiduciary responsibilities, facilitate and attend community and board meetings in partnership with other board and committee members. Take the role as the president when needed.
Co-Treasurer first year: Manage back end systems, registrations and taxes. File appropriate forms and renewals to ensure financial and administrative registrations remain active. Reconcile all monthly receipts and prepare monthly treasurer's report. Assist Treasurer position 1 in budget development and be primary backup for all tasks in that position.
Co-Treasurer second year: Main point of contact for teachers/staff/admin and FOH members for financial related activities and spending. Receive funds and deposit checks, process payments and collect W-9 forms from vendors. Collect and file receipts and other invoices. Track expenditures and revenues vs budget and report out to board and membership. Lead mid-year and year-end financial reviews, as well as budget development for the next year
Co-Secretary (One space open for 2025-2026): Attend all board meetings to keep accurate records of the proceedings, facilitate any voting necessary, partner with the treasurer on FOH bank account paperwork and has signing rights to manage, own the "Secretary Binder,” ensures FOH’s compliance to PTA bylaws, update, manage and oversee FOH documentation in Google Drive.
Communications Chair (Open for 2025-2026):
Advocacy Chair (Open for 2025-2026): The advocacy chair role helps our community stay informed and engaged, ensures that the voices of our students and families are heard by the leaders who make decisions that impact our school, serve as the link between Southeast Seattle School Fundraising Alliance (SESSFA), advocate PTA policy priorities at the state and local levels, and the concerns of our local members. Conduct outreach to Hawthorne community to understand community concerns and priorities. Represent FOH at various state, district and local meetings, as relevant. Informs community of advocacy opportunities related to upcoming legislation, school board meetings, proposed SPS policy changes, etc.
Volunteer Coordinator (Open for 2025-2026): The Volunteer Coordinator works with event leads and Hawthorne staff and admin to identify upcoming volunteer needs. They create Signup Geniuses and work with Comms and admin to communicate volunteer needs and publish sign-ups. Volunteer coordinator works with volunteers at events to ensure volunteers have necessary information, materials, etc to perform volunteer role. Work with Admin to verify volunteers are SPS-approved when the volunteer roles require it. Send thank yous and follow-up communications after events.
